Privacy policy

Last updated

This policy explains how VereTel LLC (“VereTel”, “we”) handles information about visitors to veretel.com, people who contact us, book a demo or create an account, the businesses that use our call tracking service, and the visitors to those businesses’ websites when a business uses our website tag.

Information we collect on this website

  • What you send us. When you use a form (get started, book a demo, contact, or the playbook download), we collect what you enter: your name, email address, company name, and optionally a phone number, plus your answers about your tracking needs and any message. If you give a phone number, we also record that you agreed to be contacted on it, the exact wording you agreed to and when.
  • Where you came from, if you send a form. When you submit a form, we store the page you submitted it from, the website that referred you and any campaign tags in the link you arrived by. Until you submit a form, this information stays in your browser (in session storage, which is cleared when you close the tab) and is not sent to us.
  • Visit counts. We count page views without cookies: for each view, we record the page, the referring website’s name and the date. We do not record who you are, your IP address or your device in these counts.
  • Security logs. Our web servers keep standard logs of requests, including IP addresses, for security and troubleshooting.
  • The check that you are a person. Our forms, and the sign-up and sign-in pages of your account, use Cloudflare Turnstile to tell people from automated software. The check runs in your browser inside a frame served by Cloudflare, and Cloudflare receives technical details about your browser and connection, including your IP address, to run it. We receive only the result: passed or not passed. The check may run without showing anything unless it needs you to act, and Cloudflare explains how it handles this information in its Turnstile Privacy Addendum.

Information when you create an account

When you create a VereTel account, we collect:

  • your name and your business name, where the sign-up asks for them;
  • your email address, and the password you choose, which we store only as a salted hash;
  • which version of our terms you agreed to, and when;
  • the IP address the sign-up came from, which we keep with the pending sign-up, until it is confirmed or expires, to limit abuse;
  • records of sign-up, sign-in and password-reset attempts, kept for up to 30 days to limit abuse, in a form that does not show the address or the network they came from (a keyed hash);
  • the details you give while setting up: your business name, the sources you advertise in, your website’s address and the phone number printed on it, the plan you are interested in, and whether you asked to be told when numbers go on sale.

We email you to confirm the address, and later about your account, for example for a password reset. We do not use these details for advertising, and we do not sell them. Our nightly database backups also hold copies of these records, until those backups are deleted in turn.

Information in the VereTel service

When a business uses VereTel, we process details of calls to its tracking numbers: the caller’s phone number, the number dialed, the times and duration of the call and each call leg, and whether it was answered. We also keep the account details of that customer’s users (email address and a hashed password, and the name where one is given). We process call details to provide the service to the customer, under our agreement with it. VereTel does not record calls today.

The VereTel website tag

A business can put the VereTel tag on its own website, so that the website shows the right tracking number. The tag comes in two forms.

  • The free test tag. Before a business has a number, its free account gives it a test tag. For the business’s real visitors the tag does nothing: it runs a few lines of code that request nothing from VereTel, store nothing in the visitor’s browser and change nothing on the page. It switches on only for a visit that arrives through the account owner’s own test link. Then it sends VereTel the address of the page (the site and the path), the name of the site the visitor came from, the campaign source tag (utm_source) if the link carried one, and whether the visit came from an ad click, as a yes or no and never the click identifier, so that the owner can see that the tag works.
  • The live tag. Once a business has a tracking number, it replaces the test tag with the live tag, which runs for every visitor on every page that carries it. For each page view it sends VereTel the same details: the address of the page (the site and the path), the name of the site the visitor came from, the campaign source tag (utm_source) if the link carried one, and whether an ad click identifier was present, as a yes or no and never its value. VereTel answers with the number to show. The tag sends no names, form entries or contact details.

Like any request to a web server, a request from the tag reaches our servers, and Cloudflare, which delivers it, with the visitor’s IP address and browser details. We use the details above to choose the number to show, for the business, under our agreement with it.

The business’s own privacy policy. A business that puts the live tag on its website decides to use it. Its own privacy policy, and any notice or choice its visitors are owed, must cover the tag. If you are a visitor to a website that uses our tag and you have questions, please contact that business.

How we use information

  • to reply to you, schedule and hold demos, and create, secure and run accounts;
  • to provide the call tracking service to our customers, including forwarding calls and billing for minutes;
  • to understand which of our own pages and campaigns bring enquiries, using the counts and form details described above;
  • to keep the website and service secure and to meet legal obligations.

We do not sell personal information, and we do not use advertising cookies or share information with advertising networks.

Calls and texts

If you give us a phone number and agree, we may call or text you about your request and our services. You can withdraw that consent at any time by replying STOP to a text or emailing info@veretel.com.

Who we share information with

We share information only with the providers that run the website and service for us, and only as needed for that purpose:

  • our hosting provider, which runs the servers in the United States;
  • Cloudflare, which delivers and protects our websites and measures how quickly their pages load;
  • our email delivery provider, which sends the emails you receive from us;
  • our telecommunications carrier, which provides tracking numbers and connects forwarded calls;
  • our payment provider, once you choose a paid plan, which takes your card payment.

We may also disclose information when the law requires it, or to protect the rights and safety of VereTel, our customers or others.

How long we keep information

We keep enquiry and booking details for as long as we need them to respond, to serve you as a prospect or customer, and to keep business records. Call details are kept for the customer they belong to under its agreement with us. You can ask us to delete your enquiry details at any time.

Security

We protect information with encrypted connections, access controls and database-level separation between customers. See our security page for details.

Your choices and rights

You can ask to see, correct or delete the personal information we hold about you by emailing info@veretel.com. If you are a caller whose call was tracked for a business, please contact that business; we will help it respond to your request.

Children

This website and the service are for businesses. They are not directed to children, and we do not knowingly collect children’s information.

Changes

If we change this policy, we will update it here and change the date at the top of the page.
